Supply the original model description, production details, verified configuration and intended use to your destination customs or registration adviser. Ask what additional records are needed for its assessment. An English sales name and a reference picture cannot establish whether a particular car can be imported and registered.
Keep the response and its assumptions dated. If the year, powertrain or VIN changes, ask whether the assessment remains applicable. The specification record provides consistent inputs. Confirm eligibility for the exact vehicle and destination before purchase.
Assign the commercial and service roles
Identify the seller, export provider, inspector, carrier, buyer and receiving agent as applicable. State which party supplies each service and document. Check that names and responsibilities agree in the transaction records rather than relying only on familiar branding.

Provide accurate transport information

Prepare and record the handover
Follow the current carrier instructions for readiness, fuel, batteries, keys and loose items. Assign the tasks and confirm completion. Photograph the car close to release, noting visible condition, odometer, supplied keys and accessories. Compare it with the accepted inspection and explain differences. Obtain the appropriate receiving record at handover and retain it with the vehicle's commercial and transport documents.
Keep a late change visible to every affected provider
If a selected car becomes unavailable, the replacement's identity may affect several separate tasks. Notify the party preparing documents, the destination adviser and the transport provider as appropriate, and ask what needs revision. Do not assume that updating an internal vehicle list updates their records automatically.
The replacement needs its own accepted condition and readiness evidence. Check that any additional preparation fits the planned handover and ask the relevant provider about scheduling changes. Keep revised terms with the current order rather than relying on an informal expectation that arrangements will remain unchanged.
A brief reconciliation before dispatch should confirm the accepted VIN list, available documents, readiness and handling instructions. This gives the receiving team a reliable baseline and reduces confusion between a legitimate substitution and an unexpected discrepancy in the vehicles actually handed over.
Plan the receiving check
Arrange who verifies identity, documents, visible condition and accessories on arrival. Compare the result with the final release file and follow the applicable reporting procedure when differences appear. Preserve relevant evidence before additional work where practical, without assuming that documentation guarantees a particular claim result.
