Set the order rules before reviewing stock
Specify new, used or either, the destination, approximate quantity, accepted years and model wording. Identify powertrain support limits, inspection requirements and essential equipment. Separate preferences such as colour from conditions that determine whether a car can enter the order.

Manage repair and substitution decisions
Specify which findings require rejection, further evidence or agreed repair. Ask for a defined work scope and completion checks before approving preparation. An open-ended promise to fix problems later does not establish the condition the receiving team should expect.

Reconcile the accepted group at release
Compare the final vehicle register with the physical cars, documents, keys and accessories ready for handover. Take current photographs and record changes since the accepted inspection. Identify any vehicle still awaiting repair, diagnosis or paperwork separately from the released group.

Do not hide an unfinished vehicle in the batch total
A register showing nine accepted cars and one awaiting diagnosis communicates a different position from a single ten-car approved label. Keep the pending quantity visible and identify the next action. This helps the buyer discuss schedule or order changes without weakening the condition standard by accident.
If an alternative specification is offered to complete the group, ask the workshop and purchasing manager to review it. Administrative convenience does not establish that the new configuration fits the same customers, technical support or preparation budget. Retain its separate evidence and commercial scope.
After the order, review which criteria caused useful rejections and which preferences merely limited supply. A cosmetic preference may be made more flexible, while an identity or condition requirement may remain essential. This distinction improves the next enquiry without treating every obstacle as a reason to relax valid acceptance rules.
Review the first order before scaling
Compare actual preparation and receiving observations with the original assumptions. Note which evidence was repeatedly missing and which specification choices simplified or complicated support. Use that record to refine future requests without making a model-wide claim from one unusual car.
