Make the date fields unambiguous
Use separate entries for production, first registration and advertised model year. Record the original date format where clarification is needed, then use an unambiguous date in your working sheet. A recent registration can follow storage, and a marketing year can differ from the year the vehicle was manufactured.
These distinctions matter when your sales team describes age or your destination adviser reviews a proposed import. Do not allow an advertisement's heading to overwrite a readable manufacturer label. Give each specification a source
Add columns for the value, supporting evidence and verification status. Useful sources include the manufacturer label, original vehicle documentation, a matching technical reference and a workshop identification report. A number copied from another seller's advertisement belongs in the unverified category until its application is established.
This approach is especially useful when several similarly named X5 PLUS offers are being compared. One candidate may have complete records while another only has a general brochure. Keep that difference visible instead of filling every blank with the first plausible value found online.
Use regional data within its limits
Changan Azerbaijan's X5 PLUS page presents a regional 1.5T, seven-speed DCT example and lists a 2,715 mm wheelbase. That is a scoped model reference, not a universal specification for every Chinese-market vehicle, model year or gearbox option appearing in X5 PLUS searches.
Identify the actual installed engine and transmission before assigning output, service requirements or compatibility. Where dimensions or weight are needed for transport, ask the provider which definition it requires. Avoid resolving contradictory references by averaging figures or choosing the larger number for the retail description.
Separate factory equipment from current equipment
Record required features such as keys, display functions, parking assistance, cooling and the seat arrangement. Ask which were fitted originally and which were added or replaced. Demonstrate the important functions on the actual vehicle rather than relying on a high-specification reference image.
The screen and equipment review covers language, local functions and online dependencies. If a replacement screen changes how vehicle settings are accessed, record the installed system and the test result. A modification can be acceptable, but it should not silently redefine the factory trim.
Connect specification to preparation
Attach the current inspection report and note any findings affecting the listed equipment. A specification can say that a camera is fitted while the condition report records that it does not display an image. Both facts matter to the purchase, and neither should disappear in a shortened summary.
Use the inspection plan to decide what needs diagnosis, repair or further evidence. If parts are changed during preparation, update the current-equipment record and retain the work reference. This helps the receiving workshop identify whether the delivered car matches the accepted scope.
An example of a reference mismatch
Suppose the candidate's gearbox description differs from the regional brochure supplied with the offer. Ask which document applies to the actual VIN and obtain the supporting identification. Until that is resolved, do not use the brochure to order service materials or describe the gearbox to a customer.
When the correct information arrives, update every affected record rather than only the main spreadsheet. A draft quote, parts request or transport estimate may already contain the earlier assumption. Mark the old reference as superseded and identify the changed fields so colleagues can follow the correction.
This is a small administrative step with a practical result: the final specification remains attached to evidence. A clean-looking table is not the objective if its figures cannot be traced to the car. Your workshop and receiving team need a record they can use to identify the equipment actually delivered.
Keep the shortlist flexible and the release record exact
At the enquiry stage, it is reasonable to consider several years or trims. State the accepted range and mandatory requirements, then let suitable candidates be examined. At release, unresolved identity and specification fields should be explicitly identified and addressed according to the agreed purchase terms.
Send your essential requirements through the dealer enquiry form. Do not treat broad-year sourcing as a promise that all versions are continuously in stock. The final description should belong to an identifiable car, with dated evidence that can be followed through quotation, preparation and handover.
New X5 PLUS: keep the source identity in the order
For a new X5 PLUS request, specify the original model wording you will accept and obtain the production record and equipment description for the offered vehicle. Changan, Oshan or Oushang search wording should not replace that record. Ask the supplier to identify production date, registration status, recorded delivery mileage and the preparation included in the price.
New-car review should include storage and transport condition, a pre-delivery check and a demonstration of the specified cabin functions. Used X5 PLUS offers additionally need prior-use and service evidence, with inspection findings linked to the VIN. Earlier Oshan-labelled versions are not promised as current new stock; availability is confirmed against actual offers.
